 What this job is about:In this role you will complete administrative and technical assignments associated with the following programs: Protected Leave, Training, Recruitment, and Fit for Work. In addition, you will provide general support to management as necessary for all areas of Human Resources and is the primary backup to the Human Resources receptionist. This role also assists customers in a manner that demonstrates a dedication to public service.
Additional responsibilities may include, but are not limited to the following:
  • Post job vacancies using an electronic recruitment tool.
  • Assist the Leave Program Administrator to include responding to and tracking employee eligibility for Family and Medical Leave Act and other protected leaves, ensuring employees are sent required documents within mandatory timelines, filing, and maintaining records.
  • Audit training data, run reports from Training Management System, and provide accurate training reports to customers.
  • Assist Fit for Work program administrator to include monitoring, tracking, and completing tasks as assigned.
  • Research and assist customers by providing responses aligned with Thurston County policy, state and federal employment laws and practices, personnel rules, and collective bargaining agreements.
  • Assist Human Resources staff on a variety of tasks or special projects.
  • Maintain a high standard of confidentiality of all employee records and information.
  • Set up, organize, and maintain filing (to include Laserfiche) of Human Resources records.
  • Oversee records management and retention schedules for Human Resources documents.
  • Compose and format correspondence and other written materials; proof and edit documents for appropriate formatting, grammar, and accuracy.
  • Coordinate meetings, which includes room scheduling and set-up, checking calendars and copying and distributing materials, etc.; and
  • Provide backup duties for the Human Resources Receptionist including assisting customers, fielding phone calls, distributing mail, paying bills, filing, maintaining office supplies, copier maintenance, etc.

 Working Conditions:
  • Work Environment: Quiet office setting, sitting at a personal computer majority of the day. The duty location for this position is in Olympia, WA.
  • Flexible Schedule: Typically, Monday – Friday, 8:00 a.m. – 5:00 p.m. Specific schedule may be negotiated. Workload demands may require work outside the assigned work hours and adjustment of work schedule.
  • Travel Requirements: Travel is not a major requirement of this position. Occasional travel may be required to attend meetings, trainings, or job fairs.
  • Customer Interactions: Daily interaction via phone, in-person, and video (Teams/Zoom) with Thurston County staff and the public.

  • High School Diploma or G.E.D. and one (1) year of college level coursework in office support, general business or accounting, human resources or related field.

  • Three (3) years of senior-level administrative experience, with at least six (6) months in human resources or a related setting.

  • Ability to utilize a personal computer and related software packages to successfully perform essential functions of position.

  • A current Washington State Driver's License may be required.
