Overview

Reporting directly to the Financial Director, responsible for overseeing the daily operations of the Accounts Payable (AP) Division within the Williamson County Auditor’s Office. Ensures compliance to applicable laws, policies, and procedures.

EXAMPLES OF WORK PERFORMED

  • Assigns duties and provides direction to staff within the AP Division
  • Performs personnel management, including hiring, termination, employee recognition, disciplinary action, and training
  • Conducts performance evaluations and makes pay recommendations
  • Reviews and approves timesheets and coordinates time off for direct reports
  • Maintains master vendor file and processes IRS Form 1099 at year end
  • Assists in preparation of monthly and annual Accounts Payable close
  • Communicates regularly with various county departmental staff, Elected Officials, and vendors to exchange information, explain Accounts Payable/Payroll related policies and procedures, and resolve discrepancies and disputes
  • Reviews Commissioner’s Court weekly payable report and submits to Commissioners Court for review and approval
  • Performs year-end procedures
  • Revises forms, tools, and procedures
  • Works with the IT Project Management team on various enhancements to department processes and software improvements
  • Coordinates and implements special projects
  • Ensures that all payable and payroll disbursements are in compliance with payable and payroll laws
  • Provides information and follow-up for Internal Audit’s review of Accounts Payable
  • Ensures payments are processed correctly and timely
  • Researches and rectifies any ACH returns for AP
  • Enters and verifies data within applicable databases and systems
  • Creates and maintains various reports, forms, worksheets, and informational materials
  • Attends all meetings and trainings, as required
  • Performs special duties as assigned

PHYSICAL DEMANDS

  • Position involves prolonged sitting at a workstation, visual examination of documents, reaching, walking, twisting, bending, standing and occasional lifting/carrying

ENVIRONMENTAL FACTORS

  • Work is primarily indoors in an air-conditioned environment

IRREGULAR HOURS

  • Work outside of the normal office hours (Monday-Friday 8 a.m. to 5 p.m.) may be required
  • May be deemed essential personnel in the event of an emergency

MINIMUM QUALIFICATIONS

  • Bachelor’s degree in Business Administration with major coursework in accounting, finance, or a related field and five (5) years of related Accounts Payable experience
  • Two (2) years of supervisory experience
  • Working knowledge of accounts payable, payroll, and accounting procedures and practices
  • Working knowledge Microsoft Office Suite and financial systems
  • Working knowledge of Generally Accepted Accounting Principles

LICENSES AND CERTIFICATIONS

Required within thirty (30) days of employment

  • Valid driver’s license 

PREFERRED QUALIFICATIONS 

  • Certifications in Accounts Payable and/or Payroll
  • Five (5) years of Accounts Payable and Payroll experience
  • Working knowledge of Oracle E-Business Suite
